Subject: Recommendation to Fleet Project Steering Committee – Fleet Project Launch Communication


Dear Fleet Project Steering Committee,


The Fleet Project Working Group, comprising a cross-functional team representing Parking and Transportation, Risk Management, Facilities, and Finance and Treasury, has begun evaluating the current state of fleet vehicles on campus to identify challenges and opportunities, charting a path for measurable progress in the fleet assessment project.


The current state of fleet vehicles encompasses the processes by which vehicles are purchased, cataloged, maintained, and ultimately retired.


Proposed targets for the fleet project have been identified as follows:

  • Eliminate unused or unsafe vehicles

  • Repurpose underutilized vehicles

  • Identify and inventory 100% of fleet vehicles

  • Ensuring the University’s fleet assets are fit for purpose

  • A strategic plan ensuring end to end management of the University’s fleet assets


By achieving these targets, the anticipated outcome on campus will result in expanded parking capacity through a reduced fleet as well as cost savings and process efficiency related to procurement, maintenance, and disposal.


We ask for the Steering Committee’s support in communicating the Fleet Project Launch to all Princeton University departments. Key messages to be shared in this communication are:

  • Enact a new fleet purchase policy with a review process with leadership from Financial Services

  • A fleet ‘clean-up week’ starting August 11, where each department will identify unused vehicles that can be disposed of immediately.


Upon confirmation of the Steering Committee’s support, the Fleet Project Working Group will establish a draft communication plan for the Steering Committee’s review that will lay out messaging goals, key audiences, assets (email drafts, posters, etc.) and a timeline.
